The Role:
The Portfolio Administration Team supports and enables the firm's portfolio management and trading activities through the maintenance and accuracy of the firm's investment accounting data (IBOR - Investment Book of Record) and post trade support functions. Internally, the teams work closely with the portfolio management and trading teams, client servicers, and other internal support teams. Externally, the teams interact with and manage broker, custodian and vendor relationships. Staff are often called upon to assist with client inquiries, RFP responses, client, regulatory and internal audit requests.

  • Develop and coach team members, set goals, manage progress and motivate them to maintain a continuous improvement mindset
  • Empower team members to participate in and lead high profile projects that will promote growth and effectiveness
  • Lead by example and keep employee's workload manageable and challenging
  • Advocate on behalf of the team in any arena where they need a voice
  • Oversee all Portfolio Admin related operations:
    • Trade Support (broker set-up, security set-up, trade capture / communication / matching, settlements, claims, etc.)
    • Cash Administration (client cash flow postings, income monitoring, cash availability reporting, overdraft and high balance monitoring)
    • Portfolio Reconciliations & Resolution (Transactions, Positions, Cash - IBOR to Custodian)
    • Corporate Action Processing
    • Class Action Processing
    • Proxy Voting Administration
    • Internal Reporting (e.g. aged breaks, operational risk reporting, etc.)
    • Derivatives Administration (FX, FX Forwards, Futures, Options, Swaps) - Full life-cycle support including, trade capture / communication / matching, settlements, claims, margining, collateral management, reconciliation, etc.
    • Work with cross-functional teams to develop innovative solutions to problems faced by the business units
    • Assigned projects (system enhancements, business acquisitions, regulatory changes)
    • Account and Market openings (opening custody accounts, completing markets docs)
Other Responsibilities:
  • Lead the testing and implementation of operational enhancements and special projects
  • Coordinate the development of new operational processes and controls
  • Foster a client-centric culture; partner with client reps, and internal teams to achieve results
  • Provide exceptional service when interacting with internal and external contacts
Key Skills and Experience:
  • A Bachelor's degree in finance, accounting, economics, business administration and/or related college degree with equivalent work experience required
  • Other industry certifications not mandatory but considered assets
  • 5+ years managing highly successful teams of Investment Operations professionals
  • 7+ years relevant investment operations related experience
  • Experience with project/product management and developing operational solutions is an asset
  • Ability to work collaboratively and build solid relationships
  • Self-motivated with continuous process improvement mindset
  • Organized, methodical and detail oriented
  • Ability to work effectively under pressure and tight timelines
  • Self-motivated individual who can adjust to changing priorities
  • High attention to detail, and accuracy, within a high-volume work environment
  • Strong written and verbal communication skills
  • Good understanding of how Investment Managers operate and interact with Counterparties and Custodians is essential
  • Demonstrated analytical thinking, experience resolving operational issues and strong problem resolution skills
