Asset Services Workflow Coordinator

Our client seeks an Asset Services Workflow Coordinator to join their team for a 6-month contract.
 
This pivotal role will see you managing shared mailboxes, triaging incoming requests, and ensuring seamless workflow coordination across the Asset Services team. You'll be the central coordination point, balancing workloads and maintaining exceptional service standards.
 
Key Responsibilities:  
  • Manage and monitor shared mailboxes, ensuring timely review and triage of all incoming queries.
  • Assign tasks to appropriate team members based on urgency, complexity, and ownership.
  • Track and follow up on outstanding items to ensure service levels and deadlines are consistently met.
  • Send holding responses and updates to internal and external stakeholders where appropriate.
  • Respond to straightforward queries confidently and accurately.
  • Act as central coordination point across the team, helping to balance workloads and highlight capacity constraints.
  • Escalate issues, bottlenecks, or risks proactively to management.
  • Support continuous improvement of workflow processes, mailbox management, and operational efficiency.
 
Key Skills and Experience:
  • Highly organised with exceptional attention to detail.
  • Confident using Microsoft Outlook and wider Microsoft Office suite (Teams, Excel, etc.).
  • Proven ability to manage and prioritise high volume of incoming requests effectively.
  • Strong communication skills (both written and verbal) with ability to provide clear and concise updates.
  • Confidence to take ownership of workflows and allocate tasks, including to senior colleagues.
  • Ability to challenge constructively and speak up where required to ensure efficiency and accountability.
  • Excellent time management skills and ability to work effectively under pressure.
  • Proactive mindset with willingness to take initiative and identify solutions.
  • Ability to build effective working relationships across teams and departments.
  • Problem-solving approach with ability to identify and address process inefficiencies.
  • Positive attitude and team-oriented approach to collaborative working.
