EXECUTIVE LEGAL ASSISTANT
 
Job Profile Summary
  • High-level planning and management of the Managing Principal Lawyer's time to enable them to focus on delivering strategic objectives and business goals
  • Proofread/edit/draft documents and communications from the Managing Director (including agendas and minutes)
  • Manage workflow - ability to filter and assess the importance of incoming requests is critical
  • Email and Diary management - personal and professional
  • Ensuring Managing Principal Lawyer has relevant documents for meetings, indexed and packaged
  • Screen all telephone calls and re-direct where appropriate to others within the team
  • Create/coordinate all presentations and diagrams for the Managing Principal Lawyer both internally and externally
  • Arrange all travel requirements for both Managing Principal Lawyer (for personal and work travel) and internal colleagues visiting (domestic and international)
  • Coordinate meetings with both internal and external stakeholders across various time-zones
  • Prepare monthly accounting reconciliation of corporate card expenses and expenses incurred personally for business to be reclaimed as business expenses
  • Maintain an effective and efficient online filing system
  • Review, design and document appropriate and comprehensive policies and procedures as required by the Managing Principal Lawyer
  • Administration support for Managing Principal Lawyer's external commitments including charities, committees, conferences, training and professional studies
  • Assist with the organization and management of the Managing Principal Lawyer's personal affairs
  • Generally to ensure the smooth running of the Managing Principal Lawyer's office and to provide them with a high level of administrative, legal and company secretarial support
 
Key Skills & Experience
  • Proven experience supporting C-suite executives in a fast-paced, international environment
  • Strong legal secretarial skills, including document drafting, proofreading and preparation of agendas and minutes
  • Practical and self-managing, with the ability to independently assess, prioritise and manage high volumes of incoming work and requests
  • Skilled in company secretarial duties, including maintaining accurate records, supporting governance activities and liaising with internal and external stakeholders
  • Experience managing global stakeholders across multiple time zones with professionalism and discretion
  • High attention to detail with extensive experience in diary management, travel coordination (domestic and international) and meeting preparation
  • Financial administration skills, including invoicing, corporate card reconciliations and expense management
  • Competent in preparing polished presentations, diagrams and business communications
  • Ability to design, review, and implement administrative policies and procedures to enhance operational efficiency.
  • Professional, proactive and solutions-focused, capable of fielding a wide range of administrative, legal and operational matters
  • Comfortable supporting external commitments such as charity work, conferences and professional development activities
