Our client seeks an Operations Assistant to join their team.
 
This is a busy and varied role where you will be providing support in a variety of operational areas ensuring that the business can meet its regulatory obligations and that the facilities are maintained. You will also be the first point of contact for visitors, undertaking reception duties and other administrative tasks.
 
Key Responsibilities:
  • Meet and greet all visitors to the Isle of Man Office, managing visitor passes, arranging meeting rooms and managing the front office area.
  • Answer all incoming general calls in a professional manner.
  • Ensure that time is recorded accurately and that timesheets are submitted promptly.
  • Open and scan all incoming mail. Send daily report to staff.
  • Scan bank statements and reconciliations.
  • General photocopying, scanning, filing and binding.
  • Set up files for new business and maintain files when damaged or full.
  • Collating files for archiving and assisting with or effecting up-dates to archives database.
  • Responsible for retrieving files from archive storage facility as required and then returning them, along with logging removal / return on database.
  • Managing deliveries and couriers to and from the Isle of Man office.
  • Assisting with the smooth transition of staff starting and leaving the business.
  • Managing and maintaining all facilities matters for the office building.
  • Assist with booking staff travel as and when required.
  • Oversee the office supplies such as milk, coffee, fruit, biscuits, stationary etc.
  • Monitor and request up to date due diligence for the authorised signatories.
  • General office support with various tasks and projects as and when required.
  • Complete annual audit of company seals.
 
Key Skills & Experience:
  • Educated to GCSE level or similar.
  • Proven experience of document management and scanning. Experience of working on Reception is desirable.
  • Experience with Microsoft Excel and internal systems.
  • Excellent attention to detail.
  • Experience within the finance industry would be desirable.  
  • Able to build relationships with clients, administration teams and third party intermediaries.
  • Excellent prioritisation and time management skills.
  • Strong verbal and written communication skills.
