Our client seeks a knowledgeable and organised Senior Administrator to join their Private Client/Compliance team.
 
The ideal candidate will have solid experience within a real term fiduciary business and have experience in both statutory work and periodic reviews.
 
Key Responsibilities:
  • Check on outstanding matters/tasks on client files which need to be addressed.
  • Ensure that all client records (including CDD) are complete, accurate and up to date in accordance with policies and standard procedures.
  • Provide a list of missing items so that this can be taken up with the Administrator responsible for the client relationship.
  • Identify any unusual patterns which are not in line with the expected activities or intended nature of the business relationship as documented in the client profile, risk assessment and other records held, including raising any internal suspicious activity reports with the MLRO as necessary.
  • Highlight the need for any staff training or other actions which may be considered necessary if common errors are identified.
  • Escalate any non-compliance issues relating to applicable laws and/or internal policies and procedures to the Compliance Officer and Private Client Directors.
  • Monitor the progress of the completion and collation of onboarding documentation.
  • Assisting with New Business take on.
  • Preparation of reports to Management and/or the Board on the review process and statistics.
  • Perform Periodic review for other Operating entities within the Group, as required.
  • Manage the Action Point schedule and monitor the progress to close action points.
  • Reporting Monthly to the Admin teams on AP and PR to be performed.
  • Reporting Monthly Action Points closure progress and highlighting trends and issued to the Board and Compliance.
  • Statutory administration as required including set up of entities and closures on Viewpoint and through the compliance reporting system
  • Managing and monitoring Liquidations Dissolutions ReDomiciliation and new Incorporations.
  • Monitoring and managing the statutory filings requirements in all jurisdictions.
  • Abiding by and contributing to the development of the function's procedures to ensure consistency in service and standards.
  • Remain abreast of jurisdictional statutory changes that could impact your role.
  • Maintain an awareness of changes to the relevant financial, legal and regulatory framework within which the company operates.
  • Consider, at all times, the AML/CFT/PF and “Customer Due Diligence” issues and report any concerns as appropriate.
  • Completing and inputting time in the time billing system daily.
  • Responding to enquiries and requests from internal stakeholders.
  • Any other elements of reviews monitoring and reporting as maybe identified or required from time to time by the Board and Compliance.
Key Skills & Experience:
  • 5-10 years industry experience in Company and Trust Administration, ideally holding a Senior Administrator role.
  • Advanced knowledge of the global business and fiduciary services sector.
  • Experience in both statutory work and periodic reviews.
  • Sound knowledge and understanding of legal and regulatory requirements and the anti-money laundering framework in the Isle of Man.
  • Good written & verbal communication skills.
  • Good knowledge on Microsoft applications, especially Word & Excel.
  • Ability to work independently and as part of a team to achieve the required results.
  • A proactive approach to work and the ability to work under own initiative.
  • Positive attitude with problem solving ability.
  • Good time management, prioritisation and organisational skills.
  • Ability to work accurately with good attention to detail.
  • Excellent Viewpoint knowledge an advantage
