Our client seeks a Trust & Company Administrator to join their team.
 
You will be responsible for providing administrative support in the day-to-day administration of a portfolio of trust and company structures, helping to maintain high standards of client service, fiduciary administration and operational control.
 
Reporting to the Senior Trust Manager, the role requires good organisational ability, attention to detail and a willingness to develop technical knowledge and practical experience.  
 
Key Responsibilities:  
  • Provide administrative support in the day-to-day administration of a portfolio of trust and company structures.
  • Assist with routine client correspondence and liaise professionally with clients, beneficiaries where appropriate, introducers, advisors and internal colleagues.
  • Refer more complex matters, technical issues, complaints or risks to the Senior Trust Manager or other appropriate senior colleagues.
  • Prepare draft minutes, resolutions, payment instructions, statutory forms, client correspondence and other administrative documentation for review where required.
  • Maintain accurate and up-to-date client records, including filing, scanning, due diligence records, entity registers and correspondence.
  • Assist with bookkeeping entries, processing payments and receipts, client invoicing and other routine administrative tasks.
  • Operate in line with ATCL policies, procedures and regulatory obligations, ensuring appropriate records and controls are maintained.
  • Support AML/CFT, onboarding, periodic review and due diligence refresh processes by gathering and updating information as required.
  • Escalate any discrepancies, overdue matters or concerns promptly to the Senior Trust Manager.
  • Provide support to the Senior Trust Manager and wider team in the efficient administration of client structures and departmental activities.
  • Assist with new business take-on administration and the preparation of documentation required for onboarding new structures.  
  • Undertake training and development to build technical knowledge and broaden capability within the role.
  • Undertake other department-related activities and projects as required.
 
Key Skills and Experience:
  • Educated to GCSE level or equivalent (A-levels or degree level preferable), including Mathematics and English Language.
  • Experience in an administrative role, preferably within a trust, company or other regulated professional services environment.
  • Studying towards, or willing to study towards, a relevant professional qualification such as STEP or CGI would be desirable.
  • Basic understanding of trust and company administration, or the ability to develop this knowledge quickly through training and practical experience.
  • Ability to carry out routine bookkeeping, payment processing, filing and document preparation accurately.
  • Good organisational skills with the ability to manage routine workloads, prioritise tasks and meet deadlines.  
  • Awareness of compliance and confidentiality obligations in a regulated business environment.
  • Good understanding of office administration and record-keeping requirements.
  • Previous experience in a licensed TCSP business desirable.
