Our client seeks a temporary Administrator to join their team for 4-6 weeks.
 
You will be a point of contact for visitors/clients and answer general enquiries by manning the reception desk, telephones and email inbox.
 
Key Responsibilities:  
  • Arrange, rearrange, cancel and maintain appointments/case conferences/meetings in the electronic diary and MS Outlook.
  • Input referral and assessment information onto in-house electronic system.
  • Maintain in-house electronic system including uploading documents, checking and amending  records.
  • Open, sort and action incoming mail as appropriate and prepare outgoing mail for collection.
  • Faxing, scanning and photocopying of documents/reports.
  • Maintain confidentiality and discretion when communicating with service users/clients.
  • Typing of documents e.g. letters, reports, templates, forms, spreadsheets. 
 
Key Skills and Experience:
  • Previous experience in an administrative, reception or secretarial role.
  • Excellent customer service skills with a professional and friendly approach to visitors and service users.  
  • Confident handling high volumes of telephone calls, emails and general enquiries.
  • Strong organisational skills with the ability to manage multiple tasks and prioritise effectively.  
  • Experience coordinating appointments, meetings and diary management using electronic scheduling systems and Microsoft Outlook.
  • Knowledge of confidentiality and data protection requirements, with the ability to handle sensitive information professionally.
  • Excellent written and verbal communication skills.
