Our client looks for an Executive Officer to assist their team on a 3-month contract.  
 
Role Profile:  Take ownership of and undertake the administration for the team and processes, including but not limited to questions, statistical and record database maintenance, swift and accurate responses as necessary.  You will be required to work with discretion, diplomacy and with sound judgement, leading in the development of improved systems of work. Working as part of a small cohesive team, through shared competence and resilient working. You will have a high degree of resilience and adaptability, with the ability to work in a very fast-paced and demanding position.
 
Key Responsibilities:
  • Deliver the Department's Programme by ensuring proactive, accurate and timely progression of all necessary Business in accordance with the timetable for submission.
  • Provide pro-active advice and support, in line with the Values and Behaviours,
  • Assist with the research and preparation of questions (both written and oral).
  • Undertake the accurate administration in accordance with procedures, checklists and deadlines.
  • Preparation of Meeting Packs, both electronic and hard copies
  • Manage and maintain any reports, statistical or otherwise, requested of you, in line with the relevant procedures.
  • Support the provision of administrative functions.
  • Actively plan and co-ordinate revisions to administrative procedures and systems and devise innovative ways to streamline processes, utilising current and future technology including AI.  
  • Take and maintain accurate notes of meetings, regularly monitoring the progress of actions arising from such.
  • Ensure that your knowledge is shared, by contributing to the ongoing knowledge management, by proactively documenting procedures, both accurately and to the required level of detail.
  • Ensure good record keeping in line with GDPR and also support any responses to Freedom of Information requests.

  • Experience of working collaboratively with a range of individuals at all levels

Desirable:
  • Previous Office Experience.
