Our client seeks a Manager - Fiduciary Services to join their team
Key Responsibilities:
- To manage a portfolio of clients to ensure they receive a high standard of service at all times.
- To maintain professional standards and self-development.
- To manage a small team of administrators and provide and support and guidance. To include timely summary reporting on progress to the team and the board.
- To maintain the integrity of the Viewpoint database and other systems required for the role to enable the accurate production of reports, when required. Ensuring the team do the same.
- To delegate and encourage the team to delegate appropriate work from portfolio of clients to more junior colleagues, and to provide training and guidance on work delegated.
- As part of the day to day be mindful of staff procedures and processes, when updates are required / identified, raise with line manager/ directors to take forward.
- To carry out occasional ad-hoc corporate service assignments at the reasonable request of the directors, including reception and telephone cover as and when needed.
- To follow the training given within the department and to attend training courses when required, ensuring own CPD requirements are met.
- Managing a portfolio of clients to ensure they receive a high standard of service at all times, and encouraging other colleagues to do the same.
- All professional work is to be carried out in accordance with the guidelines set out in the practice and staff manuals and in compliance with relevant local legislation.
- Delegate work where appropriate to more junior staff and ensure that work is performed to the required professional standard and to review the work performed.
- Ensure that the firm's professional standards are adhered to.
- Execute assignments in a timely and efficient manner.
- Maintain communication with all other members of the firm involved with each client.
- Where we maintain client accounting records, update clients' banking records on a regular basis and reconcile clients' bank statements to our banking records on a regular basis.
- Review clients' bank accounts and incoming statements and ensure that excessive balances are not maintained on current accounts. Arrange for the filing of bank statements and their despatch to clients if appropriate.
- Ensure clients' incoming monies are banked timeously and invested in bank accounts in accordance with the client's instructions whenever possible.
- Delegate cheques and telegraphic transfer instructions to more junior colleagues and bear in mind at all times the relevant AML criteria and procedures. Ensuring ownership of the task is retained.
- Ensure clients' statutory records and minute books are properly maintained and that all appropriate filings including tax are made at the appropriate time.
- Manage key client relationships and oversee the team to ensure they do the same. Correspond directly and promptly with clients as requested.
- Ensure the integrity of the data maintained in the systems used by updating the database timeously with any statutory and other changes to client records and saving and indexing documents to Laserfiche.
- To ensure all fiduciary service department functions are carried out on a timely basis to a high standard.
- To ensure that appropriate charges are made to and collected timely from clients.
- To provide regular updates to line manager/ Directors on targets set, ensuring regular progress is made for the team, delegating where appropriate and encourage delegation to colleagues to ensure own targets and teams targets are met.
- Keep up to date with current Isle of Man and UK legislation - read internal circulars and emails.
- Identify self-development courses and relevant professional courses where possible.
- Maintain client confidentiality at all times.
- Ensure that annual anti-money laundering training is undertaken.
- Ensure that annual continuing professional development requirements are met.
Essential Requirements
- Previous experience of managing both trusts and companies with varying asset classes and ideally hold or be studying towards a relevant professional qualification.
- You will be highly organised possess strong communication and relationship management skills and have a proven experience of supervising, mentoring and developing team members.
